What We Collect

Seattle Head Spa collects the following information:

• Booking details: your name, email address, mobile phone number, the service you book, and your appointment date and time.
• Contact form submissions: your name, email, phone number, your message, and whether you opted in to text messages or email updates.
• Payment information: payments are processed by Square. We never see or store your full card number. Our own records keep only the card brand, the last four digits, and Square's own payment ID for that transaction.
• In-person guests: if you pay in person at the spa, you are identified in our systems only by a salted, irreversible hash of your card's fingerprint, generated by our payment processor. That hash cannot be reversed to reveal your card number, and we never store the card number itself.
• Website analytics: we use Google Analytics 4 to understand how visitors use our site, such as pages viewed, general location, and device type. This is aggregate information and is not tied to your name.
• Google Business Profile reviews: if you leave us a review on Google, that review is public and is hosted and managed by Google, not by us.

Why We Collect It

• To schedule, confirm, and remind you about appointments.
• To process payment for services you book.
• To respond to messages you send us.
• To send you appointment-related text messages, and, only if you opt in, email updates about the studio.
• To understand and improve the site.

Who We Share It With

We work with a small number of trusted service providers to run the business:

• Square processes payments.
• SendGrid delivers our email.
• Google provides website analytics (Google Analytics 4) and hosts our Google Business Profile and reviews.
• GoHighLevel is our booking and text messaging platform.

Each of these partners only receives the information it needs to do its job for us. We do not sell your information to anyone, and we do not share it with any other third party for their own marketing purposes.

Text Messages (SMS)

If you opt in, we use GoHighLevel to send you recurring automated text messages about your appointments at the phone number you provide, including appointment confirmations, appointment reminders, booking updates, and customer support replies. We do not send marketing or promotional text messages. Marketing consent is collected separately, by its own optional checkbox, and applies to email only. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or reply HELP for help. Your phone number and your SMS opt-in status are used only to send you the messages you agreed to, and are never shared or sold to any third party or affiliate for marketing purposes. SMS consent is not shared with third parties or affiliates for marketing purposes.

Data Security

We implement reasonable administrative, technical, and physical safeguards to help protect the personal information we collect from unauthorized access, use, disclosure, alteration, or destruction. While no method of transmitting or storing data is completely secure, we strive to use commercially reasonable measures to protect your information. Access to personal information is limited to authorized personnel who require it to provide our services.

In practice that means our website is served over an encrypted connection (HTTPS), card payments are handled by Square and never stored on our own systems, and access to booking and customer records requires an individual account with permissions limited to what that person needs.

How Long We Keep It

We keep booking records, contact-form submissions, and payment metadata for as long as reasonably necessary to serve you and to meet our accounting and legal obligations, and we remove or anonymize it after that.

Your Choices

• Text messages: reply STOP to any message to opt out at any time, or contact us directly.
• Email updates: every email includes an unsubscribe link, or you can contact us directly.
• Access, correction, or deletion: email seattleheadspa99@gmail.com or call (206) 889-7778 to request a copy of your information, a correction, or deletion. We will respond as promptly as we can. Some records, such as payment transaction records, may need to be kept for accounting or legal reasons even after a deletion request.

Cookies & Analytics

This site uses Google Analytics 4 to measure traffic and understand how the site is used. Your browser may store a small analytics cookie for this purpose. You can control cookies through your browser settings.

Children's Privacy

Our services and this website are intended for adults. We do not knowingly collect information from children.
